Software Asset Management Analyst
you will work closely with Configuration Management, Change Management, IT Vendor Management, Procurement, Infrastructure and Operations teams to help maintain the day-to-day records and databases responsible for containing information pertaining to the organization’s software assets. The Analyst will be responsible for evaluating and handling multiple license types and software licensing applications, supporting software compliance audits and working with teams to maintain an effective software asset management program.
Day to day duties & Responsibilities:
• Works closely with help desk, operations, Standard Services, Vendor and Procurement to ensure appropriate software licenses are available prior to deployment
• Responsible for Software Asset Management license maintenance activities, including: o Creating new software licenses in accordance with vendor specifications in the Flexera Software Asset Management tool o Processing new software purchases and applying to the appropriate software license as approved o Monitoring and identifying compliance risks of software licenses o Identify opportunities for cost savings, working with the Software Asset Manager to address efficiency, renewal and commercial issues. o Coordinating software and license reclamation activities o Collecting information in response to software verification requests
• Responsible for maintaining the Definitive Software Library (DSL), including: o Downloading software media and moving to the DSL o Distributing software media to the appropriate resources o Assessing and actioning usage based reports • Responsible for receiving and managing software license keys
• Maintain knowledge of key Vendor licensing models, working with Vendor Management to understand the the clients specific commercial relationships.
• Assist in Software audit activities, working with the Governance & Assurance team, the Configuration Management team and Vendor Management.
• Responsible for the following activities related to the maintenance of the Flexera Software and license Repository: o Work with the packaging teams to ensure deployment methods and media are correctly operating in line with license restrictions o Ensuring software models are linked to the appropriate contracts o Ensuring license keys are linked to the appropriate software models
• Answers software license related questions pertaining to number of installs, purchases and provide licensing knowledge and advisory services to stakeholders to maximise the value of Software Asset Management.
• Providing advice, guidance, and expertise with regards to divestments and acquisitions
• Working with operational teams to ensure that all ‘in-scope’ devices are reporting into the Flexera database and Retirements are also processed in a timely manner.
• Providing regular recharge data to the Billing/Invoice team for onward processing
• Providing a SAM service to the clients’s customers as contracted, tailored to the customer’s requirements
Key skills & Experience:
Essential Skills
• Experience in configuration management, asset life-cycle management, process improvement and compliance
• Working knowledge of the fundamental concepts and procedures used in a purchasing and asset management environment
• Working knowledge of software licensing and understanding of contract language
• Working knowledge of reconciling software licensing and software maintenance terms and conditions between procured rights and quantities with compliant deployment of software assets.
• Working knowledge of the procurement life-cycle and best practices
• Strong problem-solving with excellent verbal and written communication skills
• Strong data analysis and manipulation skills including strong MS Excel
• Working knowledge of current IT technologies and full understanding of industry practices
• Self-motivated, tenacious with ability to work independently
• Ability to manage time and workload effectively which includes planning, organizing, and prioritizing with attention to detail Desirable Skills Proven experience and ability to calculate vendor licensing models, familiarity of SAP, OVM, VMware and Microsoft and other ‘Tier 1’ vendor license models
• Experience with Software Asset Management tools, such as: o Flexera o Service Now o Microsoft SCCM
• Familiarity with technology such as Citrix XenServer/XenApp, Microsoft App Virtualization and Microsoft SCCM
