Job Summary

We are seeking a highly organized and detail-oriented Legal Assistant to help our team navigate the K-12 Request for Proposal (RFP) process. In this role, you will manage the RFP calendar, review bid wires, fill out and finalize RFP paperwork, and ensure timely signatures and notarizations. The ideal candidate will have strong communication skills, an understanding of legal documentation, and the ability to coordinate multiple tasks and deadlines.

 
Key Responsibilities

Bid Wire Review & RFP Calendar Management

  • Monitor and review bid wires to identify relevant RFP opportunities.
  • Thoroughly read and interpret RFP documents to identify requirements, criteria, and potential challenges.
  • Assess the organization’s capabilities, capacity, and resources to determine fit with each RFP.
  • Maintain and update the RFP calendar, including key deadlines and milestones.

 
RFP Documentation & Legal Paperwork

  • Summarize RFP requirements and share findings with Marketing, Sales, Operations, and Legal.
  • Prepare, compile, and complete required RFP paperwork accurately.
  • Coordinate with internal departments to gather all necessary information and signatures, and ensure documents are notarized when required.
  • Ensure that all parts of the proposal—contracts, compliance certifications, insurance requirements, terms and conditions—meet legal standards and RFP requirements before the submission deadline.
  • Proofread materials for typographical errors, office style conformity, and accuracy.
  • Maintain organized records of all documents and ensure information is accurate and up to date in Smartsheet, Canto, Responsive, or any other software introduced in the future.
  • Perform final review of submissions to confirm accuracy, completeness, and compliance.
  • Communicate any changes or updates in requirements to relevant team members promptly.

 
Qualifications

Education & Experience

  • Bachelor’s degree in Paralegal Studies, Business Administration, or a related field (preferred).
  • Experience as a Legal Assistant, Paralegal, or in a similar administrative capacity, ideally involving complex documentation and deadline-driven tasks.

 
Skills & Competencies

  • Strong proofreading and editing capabilities to ensure completeness and accuracy in all legal documents.
  • Ability to manage multiple projects, deadlines, and shifting priorities effectively.
  • Excellent verbal and written communication skills for interacting with internal teams and external partners.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with document management systems.
  • A proactive, team-oriented approach with the ability to work independently when needed.
  • Notary Public certification or willingness to become a Notary Public (preferred).
  • Familiarity with K-12 RFP processes, procurement regulations, or legal compliance (highly desired).
