They are looking to recruit a temporary PA and Team Coordinator to start 15/04/2024; the end date will be 31/07/2024. This position will be working full time Monday to Friday (open to flexible working arrangements – must cover core hours M-F) and is paying £15.85ph. This will be a hybrid role working primarily from home; however, you will be required to attend the Milton Keynes Office on a Thursday to be with the rest of the PA Team.
About the Role Â
The main purpose of this post is to provide responsive, timely and professional administrative support to the Directors and management team members enabling the team to deliver on their objectives.
You will be responsible for the execution of a wide range of duties and to work flexibly across People Services as required.
This diverse role is split into two elements and includes supporting the co-ordination of diaries for the Directors and some of the management team members, organising team meetings, including room bookings and any travel arrangements; creating agendas, noting actions and taking the notes of meetings as required, liaising with all areas of the University and with external organisations (at senior level).
PA - Diary Management of 2/3 Senior Leadership Team members within People Services
- Shared inbox management
- Facilitating multiple diaries, arranging meetings, setting up TEAMS invites assist in the meetings to facilitate the sessions
- Assisting with travel arrangements
- Process expenses
- Administering PO’s
- Assisting with PowerPoint Presentations (creating and facilitating in meetings)
Team Co-ordinator
- Supporting the wider teams of the Senior Leadership Team members
- Travel arrangements
- Ordering IT equipment
- Assist in meetings – note-taking (mainly action points)
- Supporting the PA/Admin team when required, covering holidays/absence
Person Specification:
- PA/EA experience
- Must be pro-active and have a ‘dig-deep’ attitude
- Highly organised and flexible with supporting the team
- Demonstrate knowledge/experience of using TEAMS & facilitating meetings online
- Advanced knowledge and experience of MS office software, particularly with PowerPoint to assist with creating presentations.
