We are working with a national charity based in London who are recruiting for a HR Officer/Coordinator on a temp to perm basis, interviewing and starting ASAP. This is a fantastic opportunity to within a relatively small team and is paying from £13 - £16.40 per hour. This will be a home based role initially until the social distancing restrictions have eased and the permanent salary is paying up to £30,000.

 

The team is overseen by a Director of HR and consists of a HR Manager (as the line manager); a HR Admin and volunteers. The role is responsible for overseeing the main HR processes and systems across the employee lifecycle, including: recruitment and selection; pre-employment checks; processing new starters, changes in terms and conditions, and leavers including all relevant correspondence; HR aspects of payroll and the management and ongoing development of the recently installed HR system, Cascade which underpins them. This role is also responsible for providing management information (MI) and data to senior managers and using it to deliver improvements in HR operations process.

Responsibilities for the HR Officer/Coordinator:

  • Line management of the HR Admin and HR volunteers - This includes providing regular supervision, support and development to enable them to provide excellent service to the organisation and develop their knowledge and skills of Pact and of HR.

  • Deliver HR helpdesk - This includes responding to all calls, emails and enquiries from employees, line managers, applicants and others, and refer on to other team members where issues are more complex.

  • Cascade and HR processes including:
    • system administration, user access rights and configuration
    • development of self service functionality and workflows
    • user training and provision of supporting materials such as user guides
    • provision of “helpdesk” support to managers and employees having difficulties with the system

  • Recruitment including:
    • To identify the most appropriate and cost effective method for advertising vacancies (including the use of social media) and ensure adverts are uploaded to the Application Tracking System (ATS) in a timely manner
    • To advise line managers on selection methods and maintain Pact’s library of interview questions and assessment tools 
    • To participate from time to time on interview panels
    • To develop and deliver recruitment training for managers

  • HR Processes including:
    • To ensure pre-employment checks are conducted efficiently and effectively in line with the standards, including identity checks; right to work in the UK; references; and where appropriate DBS checks and prison vetting, and to ensure contact is maintained with the successful candidate throughout by line managers and HR team as appropriate, to keep them informed and engaged with Pact before a formal start date has been agreed.
    • To work closely with HR Manager to develop performance management processes within Cascade such as supervision and appraisals
    • To work closely with the HR Manager to oversee the administration of sick pay, maternity/adoption/paternity pay etc and ensure employees are aware any changes

Experience needed for the HR Officer/HR Coordinator

  • Experience of delivering HR operations in a busy complex organisation ideally including most of the following:
    • Recruitment
    • Vetting / pre-employment checks
    • Onboarding and employee lifecycle
    • HR aspects of payroll
    • Correspondence and contracts
    • Providing advice and guidance to line managers

  • Experience of training or guiding line managers in HR processes

  • Experience of using technology (in particular HR systems) to enhance and modernise HR operations.
  • Experience of line management

Skills, knowledge & abilities needed include:

  • Competent knowledge of HR processes within the employee lifecycle

  • Knowledge of the key areas in law impacting recruitment and selection practices include the Equality Act, Eligibility to work in the UK and criminal records checks
  • Strong administrative skills with a close attention to detail
  • A process orientated individual who enjoys finding ways to improve processes to make them easier for everyone to carry out and follow, and able to develop workflows within the HR system
