PA & Office Manager

Location:  London, England
Salary:  GBP24000 - GBP28000 per annum


PA required to join an extremely interesting arts and brands consultancy. This is a brilliant opportunity for a bright, degree educated candidate, with minimum three years office experience to join a warm hearted, small and successful business. Salary: up to £28k DOE.

Key Accountabilities
Direct Support:
· Comprehensive diary management including client meetings
· Drafting correspondence as required
· Managing all business and personal travel (domestic and international), producing comprehensive itineraries
· Supporting MD in personal appointments, travel, administration, philanthropic commitments and projects
· Supporting business development processes, including researching target clients
· Supporting the Account Managers/Directors in the delivery and measurement of client strategies and events, working with third party partners where necessary in the UK and abroad

Human Resources:
· Managing payroll
· Work with Account Executive on recruitment processes
· Office induction for new employees - training them on all office systems
· Managing holiday schedule and filing all HR related documents
· Managing interns and freelance staff

Operations:
· Research: both business development and client related research
· Assisting in facilitation of internal business development events
· Finance: filing credit card / petty cash receipts for quarterly VAT submission and client invoices; inputting data on Sage; managing all client expenses; ensuring timely payment to suppliers; managing monthly payroll and tax payments
· Managing service providers to the office
· Liaison with landlord on office issues
· Managing upkeep of the office

Technology:
· Managing contacts database: updating as required
· Maintaining IT / phone / alarm systems through liaison with suppliers

Required Background and Experience
· Qualified with a strong track record in office administration, executive support and financial management
· Strong interest in marketing, brand and communications, with a good understanding of both the corporate and cultural world
· First rate communicator and able to engage confidently with clients and artists
· Passion for and knowledge of the arts is essential
· Exposure to issues relating to arts funding, consumer goods, luxury brands, financial services and retail is desirable

Personal Skills and Characteristics
· A self-starter with a hands on approach and the ability to hit the ground running
· Presentable and always professional
· Outstanding written and oral communication skills and able to engage confidently with clients and artists
· Strong numeracy skills are essential, ideally with experience of using SAGE
· Adaptable, able to multi task, think on your feet and show initiative
· Eager to be challenged by goals and benchmarks
· Ability to maintain the utmost sensitivity and discretion when working with clients and artists
· Comfortable working as part of a small company in a fast paced, entrepreneurial environment
· Warm, fun and charismatic personality with a strong team spirit
