Summary
Perform bookkeeping duties with emphasis on time and billing and/or closings in support of high-volume business. Perform all aspects of bookkeeping to include accounts payable; accounts receivable; and runs reports and maintains spreadsheets and files. Perform a variety of routine and non-routine bookkeeping tasks including research and analysis to resolve problems. A moderate amount of creativity and latitude is utilized in performing job functions. Position interacts with all firm personnel on bookkeeping and accounting related matters within defined parameters.

Essential Functions
Duties and Responsibilities
  • Extensive experience with QuickBooks Online and QuickBooks Pro
  • Experience accounting for multiple entities with intercompany payables, receivables, fees, etc.
  • Experience processing payroll
  • Experience performing monthly bookkeeping procedures such as bank reconciliations, credit card reconciliations, and billing customers.
  • Weekly and monthly financial reporting
  • Complies with federal, state, and local legal requirements by studying requirements; enforcing adherence to requirements; filing reports; advising management on needed actions
  • Assist with budget preparations
  • Pay bills and maintain ledgers
  • Receive, approve, and/or decline client invoices

Accounts Receivable
  • Researches, posts and prepares deposits and NSF checks
  • Receives and posts incoming wire transfers and ACH payments
  • Prepares, prints pre-bills, edits, prints final bills to clients and posts

Accounts Payable
  • Prepares, posts, prints checks for invoices and vouchers
  • Voids checks for invoices and vouchers
  • Prepares and posts outgoing wires, fees and non-op transfers

Reports/Spreadsheets /Research/Problem Solving
  • Designs and runs various daily, monthly and yearly reports
  • Maintains various accounting spreadsheets
  • Reconciles vendor statements
  • Performs research and analysis, identifies and corrects internal and external client/vendor problems

File Maintenance
  • Maintain files (i.e., reports, backup paperwork, bank reconciliations, financial files)

Education & Experience
  • Minimum High School Diploma or equivalent; college degree preferred
  • Coursework in accounting or bookkeeping
  • 1+ years experience in bookkeeping/accounting
  • 1+ years experience with accounting software
